Business Portfolio Management case

CASE: major university institution

Business Portfolio Management case

Business Portfolio Management case

A large university institution is currently professionalizing its portfolio management.

The biggest bottlenecks are
• The organization cannot do everything at once and
• At the same time find it difficult to make the right choices, in line with the strategy
• Prioritization is not done in a rational, objective way, but is based more on who ‘sits highest in the tree’, can ‘cry the loudest’, or ‘take the most money’.

This does not lead to the most effective, cohesive portfolio for the organization as a whole. The organization also wants to look further ahead, what is in the pipeline in terms of forecasting, how will this fit into IT capacity or other capacity, what must be taken into account?

urgent
And how does the organization keep this ‘roadmap’ stable while ’emergency’ is being shot from all directions. Ideally, these are weighed against the impact they cause on the roadmap and the realization of the longer-term goals: ‘Portfolio Balancing’ by means of scenarios, based as much as possible on facts!
The organization has a great need for a ‘single version of the truth’ (“if it’s not on the roadmap, it’s not in the spotlight”) to communicate in a uniform way to the rest of the organization, instead of all kinds of current overviews in various forms (in Excel, PowerPoint, etc.).

Approach BizzNav

Portfolio Management is a strategic decision-making process, with associated roles and responsibilities.

Only when all parties involved take up their role/take responsibility in conjunction, can portfolio management be a success and the organization will realize its goals better and in a more targeted manner with its scarce resources.

And that at lower costs, with more insight and with an optimally distributed workload. This means that in our proposed trajectory we will put people and bodies more in their role (and therefore also in their strength), such as the Portfolio Board, project steering groups, portfolio management, project managers and clients.

Portfolio Management is (besides a process, with the necessary roles and responsibilities) also a tough complexity problem.

There are many factors that must be managed in conjunction to effectively manage a portfolio and its changes. That is why we will make use of the Business Navigator (or in short: “BizzNav”) when implementing professional portfolio management.

BizzNav, Business Navigator

The BizzNav environment is specifically made for managing the full complexity of the portfolio at portfolio level and with concrete ‘what-if scenarios.
BizzNav approach within this large university institution: to set up a professional portfolio management process, supported by tooling.

Offer changes in the portfolio (not only in projects, but also in strategy, budgets, resources, etc.) to the portfolio board and let it decide. Like no other tool, the BizzNav environment knows how to weigh the tension between goals, ambitions and targets against the scarcity of resources and resources.

In addition, the environment is ideally suited to serve as a ‘single version of the truth’. Not only because the ‘single version’ of knowledge, facts and data is collected in the repository, but precisely because of the transparency that the tool provides, a high degree of ‘truth’ is also enforced: the facts contributed by portfolio management players are immediately visible, including impact on others; this also redirects behavior from a more isolated attitude to a culture of dialogue and cooperation on behalf of the entire large university organization.

in control

With the Business Navigator, organizations always make the right change initiatives, at the right time and in the right context. And you are completely 'in control'.
